Soft phones & IP Phones: set your staff up to work from home
Soft Phones and IP Phones (VOIP phones) are two great options for keeping your staff connected to the office while working remotely from home.
The recent outbreak of corona virus (COVID-19) has implications for us all but it doesn’t mean your business has to shut down entirely. A virtual remote worker solution for your staff may be the answer as they work from home over the next few weeks or months.
By simply adding a ‘soft phone’ connection to your existing phone system, Expert Telecommunications can help you keep your staff connected, productive and in communication at all times while they work from home. All you need is an app, a headset and a phone call to Expert. Your staff will be up and running in no time.
First of all, let’s start by defining what a ‘soft phone’ is for you. Then we’ll explain how you can use it for staff working remotely.
What Is The Differences between Soft Phones & IP Phones?
What is a soft phone?
If you’re unfamiliar with the concept, a soft phone is a piece of software that sits on your phone, desktop or laptop in the form of an app that allows you to send or receive calls – just like a regular phone.
All you need is a connection to the internet.
For anyone who has used Skype before on their desktop or smart phone, using a soft phone is very similar, just with better voice quality.
If you’re using a VOIP phone system, your soft phone simply uses the extension associated with the account and staff can just plug in a headset to get started. You can even access your address book and recent calls just the way they would if they were sitting in the office.
Likewise, call recordings, conference calls, hunting lines, call forwarding are all part of the normal functionality and all calls are recorded as per normal in your phone system call logs.
Importantly, employees can communicate without disclosing their personal numbers and your business can maintain its professional image. Simple!
It means your receptionist, support staff, sales people and other back office teams can work from home directly through your phone system without interruption. It’s a different way of doing things but it’s a reality we’re all going to have to get used to as the coronavirus crisis unfolds.
If you’re not keen on the smart phone idea, another fantastic way to connect to the office phone system is through an IP Handset. IP Handsets (or VOIP phones as they are also known) look just like a regular desktop business phone but they automatically connect to your phone system no matter where they are plugged in. All it takes is an internet connection, a phone call to Expert, a little bit of minor programming and hey presto! Your staff are good to go.
In some ways, this is an even easier solution for some staff members – if they are already using an IP Phone at work, they can simply take the handset home with them!
Needless to say, they take all the functionality of your phone system home with them too.
If you don’t have a VOIP phone system in place, give us a call and we’ll talk you through the options. You may have been considering an upgrade anyway or if you’re concerned about cash flow, we may be able to adapt your existing system.
No matter what your situation in these most challenging of times, our Expert team will help you find the right solution for your business.
